Questions from the webinar
The calendar switch
We're starting the rollout from late September. You'll get two weeks' notice in Semble and via email before your specific date, with reminders and instructions one week before, one day before and on the day of your switch.
The most important thing worth doing in advance is getting familiar with how the new views and filters works for the refreshed calendar. Because your availabilities are transferred to the refreshed calendar, updating availabilities (including your staff rotas) can be reviewed and adjusted at your own pace once you're comfortable.
We're not able to move individual dates. The switch happens overnight with no downtime. Your patients can book online as usual and your team doesn't need to be there or do anything. We recommend you familiarise yourself with the training materials available via the Calendar Transfer Hub ahead of the switch so you’re ready to get started straight away.
There are no changes to your appointments or online bookings, and your patients can book as normal. Your clinician’s working hours (availabilities) are transferred across overnight by our team. There's nothing you need to do.
Yes. There are no changes to how patient communications or online bookings work. The only things changing are how you view the calendar and set up availabilities.
Your existing availability patterns will be transferred across for you. After the switch, you can review and convert these into recurring availability patterns using the new system, for example, setting up a fortnightly rota directly instead of managing it with out-of-office blocks. There's no rush to do this on day one you can take your time getting familiar first.
Using the refreshed calendar
Yes, there is a new toggle option called ‘Active Schedule Only’ which only displays clinicians who are available at the selected location and dates.
Yes, the refreshed calendar supports repeating every X weeks with start and end dates.
Not yet, currently this only works for all patients. This has been noted as a feature request for the product team.
The time slot intervals can be adjusted in your calendar settings. You can set the column width to match your most common appointment duration for a cleaner view. This is a per-user setting, available in Settings > Users > Calendar Settings.
Yes. We’ve introduced a new feature called the ‘Active Schedule Only’ toggle, it instantly shows only clinicians who have availability or appointments in your selected time frame of those that you have selected on the filters it instantly shows only clinicians who have availability or appointments in your selected time frame.
Yes, the refreshed calendar has improved available slot-finding. Combined with the new filters and ‘Active Schedule Only’ toggle, it should be significantly easier to see what's available without manually adjusting your search each time.
The calendar display should reflect the clinician's actual availability times. If a clinician is set to 08:00–19:00, the diary should show that range. If you're not seeing extended hours, check the availability settings for that clinician and contact support if the issue persists. If an appointment is booked outside those hours, when navigating back to the calendar, the displayed hours will extend to make that appointment visible.
The refreshed calendar includes hover-to-preview, you can hover over any appointment to see key details without clicking into it. The amount of information shown depends on the slot size and view, the aim is to reduce the need to open every appointment individually.
Yes. Appointments are stored separately from availability, deleting availability does not affect any existing or historical appointments.
The refreshed calendar supports recurring availability patterns that repeat every X weeks so you can set up fortnightly or other custom patterns directly, without workarounds.
What specific limitations of the current calendar does the refreshed calendar resolve for me?
I find it difficult to manage scheduling across multiple locations and practitioners.
How the refreshed calendar resolves this:
Clinic view puts every location, room and practitioner side by side on one screen. Filter by room, clinician or location and use Active Schedule Only to hide anyone not working.
Limitations of current calendar:
I only want to see who’s working on a given day or timeframe.
How the refreshed calendar resolves this:
Toggle on ‘Active Schedule Only’ and the calendar instantly hides anyone without availability or appointments in your selected timeframe.
Limitations of current calendar:
I manage locums with odd schedules or fixed contract dates.
How the refreshed calendar resolves this:
Set a start date and end date on any availability — for example, "Mon/Wed/Fri, 9–5, from 1 October to 31 December." When the contract ends, the availability stops automatically.
Limitations of current calendar:
I have to create individual out-of-office blocks for every lunch break and holiday.
How the refreshed calendar resolves this:
Set up a recurring unavailability for regular breaks like lunch, 12–1pm every weekday. For one-offs like holidays or sick days, add a single unavailability and select a reason so it's clear in the calendar.
Limitations of current calendar:
I run a larger clinic with hundreds of appointments every week, load times are very slow.
How the refreshed calendar resolves this:
The refreshed calendar is built on a completely new technical foundation designed for speed. Larger practices should see a noticeable difference in load times, especially when viewing busy weeks across multiple rooms.
Your feedback
Thank you for sharing your feedback during the webinar. We've grouped your suggestions and passed them to the relevant product teams. The requests below are being reviewed so we can prioritise the features that will have the most impact across our customer base.
The new calendar is being released in stages. You can see which features are currently available in the Calendar Transfer Hub. If your clinic relies on a feature that is not yet available, your transfer date will be scheduled once it is ready. Our customer success team reviews each batch of customers to minimise any disruptions to your business.
Month view is planned for a later release. We know it is useful for reviewing availability and bookings over a longer period, so it is being developed alongside other calendar views, including Location view. We’ll continue to update the Calendar Transfer Hub as these features become available.
We understand that large clinics need to see the full day’s schedule, particularly when the clinicians and rooms in use change from day to day.
We’re improving the resource selectors to make it easier to select and view all relevant clinicians and rooms in Clinic View. If your clinic needs to view all relevant clinicians and rooms together, we will not schedule your calendar transfer until the improved experience is ready. If you use ‘Active Schedule Only’, remember that it only filters the clinicians and rooms you have already selected. It does not automatically add everyone working during that period.
